Local SEO Tools for Multi-Location Clients
An agency running 5 to 30+ locations spends hours a month copying reviews by hand. The three limits that break a single-location workflow.

An agency managing a multi-location client does not need a different kind of local SEO tool — it needs one whose limits are counted per location rather than per account. The workflow that works for one Google Business Profile fails somewhere between five and fifteen, and it fails at the plan's caps and at manual steps, not at the ranking data.
The manual cost is documented. An agency handling clients with 5 to 30 or more locations described the review reporting process on 27 March 2026: opening each profile one at a time, copying reviews out, pasting them into a spreadsheet. Their words for the cost were "for bigger clients it can take a couple of hours" — on the review section alone, every reporting cycle.
WHAT MULTIPLIES PER LOCATION ┌────────────────────────┬────────────────────┐ │ grid scans │ × locations │ │ review pulls │ × locations │ │ report pages │ × locations │ │ keyword cap on plan │ shared, not × any │ └────────────────────────┴────────────────────┘ the last row is where plans break
The Caps Are Per Account, the Work Is Per Location
This is the mismatch that decides tool selection, and it is invisible on a pricing page because pricing pages describe the account.
A practitioner in a December 2025 thread reported one widely-used tool allowing 100 keywords in search and 5 keywords on Google Maps per account. Whether or not that limit still stands, the shape of it is the point: a Maps keyword allowance that is not multiplied by location is spent by the second location and exhausted by the third.
Before buying, convert every stated limit the same way:
- Is the keyword allowance per account or per location? If per account, divide it by your client's location count before comparing plans.
- Is the grid allowance per account or per location? Grid scans are the cost driver, and the arithmetic is in grid cost per scan.
- Can locations be reported separately and together? A regional manager wants one location; the owner wants the portfolio.
- Do reviews come out through an interface or by hand? This is the hours.
Where a Single-Location Workflow Breaks
The question gets asked in the owner rooms in almost those words. June 2026:
For those managing multiple locations or client GBPs, what was the first thing that became much harder once you got past 10 locations?
r/GoogleMyBusiness, June 2026
One answer, from March 2026, names the hour cost exactly:
I manage local SEO for clients with anywhere from 5 to 30+ locations and the review reporting is always a headache you have to go into each Google Business Profile one by one, copy the reviews out, and paste them into a spreadsheet.

WHERE A SINGLE-LOCATION WORKFLOW BREAKS ┌──────────────┬────────────────────────────────┐ │ 1 location │ manual checks are fine │ │ 3-5 │ zip-code searching stops │ │ 5-15 │ per-account keyword caps bite │ │ 15-30+ │ review pulls cost hours a month│ └──────────────┴────────────────────────────────┘ reported thresholds, not measured ones
The first break arrives earlier than most agencies expect. Describing three plumbing locations across different counties, one practitioner wrote that they were doing manual searches in different zip codes, that it was eating too much time, and — the more important half — that it was "probably not even accurate."
Manual zip-code checking is not a cheap version of grid tracking. It is a different and worse measurement: one point per check, no record of where the check was taken from, and no way to compare two months. Why one such number misleads is covered in why one rank number lies.
Search Console Will Not Fill the Gap
The obvious free substitute does not do the one thing multi-location work requires.
WHY SEARCH CONSOLE DOES NOT SOLVE IT ┌──────────────────────────┬──────────────────┐ │ what it reports │ country, device │ │ what a multi-site needs │ city, suburb │ │ what it never separates │ one location │ └──────────────────────────┴──────────────────┘ reported by an agency running 3 counties
The same agency tried it and said so directly: Search Console does not break results down by specific cities or neighbourhoods the way the work needs. It also reports on a website, while a multi-location client's visibility is distributed across profiles that may share one site between them.
What Actually Differs Between Tools at Scale
Comparing tools on grid points and scan frequency is the single-client exercise, and it is covered in grid cost per scan. None of it changes at fifteen locations. What changes is that three costs which are rounding errors at one location become the whole decision:
| what only appears at scale | why it decides the purchase |
|---|---|
| is the limit per location or per account | a per-account cap is a hidden divisor — the only line on a pricing page that silently changes meaning as the client grows |
| can fifteen locations sit on one map | a portfolio view is a different artefact from fifteen reports, and it is what the person paying wants to see |
| can reviews leave the profiles at all | this is the hours. it is not a ranking feature and no pricing page lists it |
The third row is where the March 2026 thread landed, and it is the one to weight hardest. The agency asking was not looking for better rankings data — they had that. They were asking whether everyone else was also doing it by hand. Nobody in the corpus described an automated answer they were happy with, which makes this the least-served requirement in multi-location local SEO and the one most worth testing before you buy.
Our interest, stated. We sell a grid rank tracker, so a page telling you to weight portfolio views and per-location limits is a page describing our own product category. The three rows above came from an agency's complaint rather than from our roadmap, and the test we would apply to ourselves is the same one: ask whether reviews can leave the profiles without a person copying them.
Do Not Multiply the Keyword List
The cheapest saving at multi-location scale is tracking fewer terms per location, and it is also the better measurement.
Why city-modified terms waste scans on any grid is set out in grid cost per scan. What changes at multi-location scale is the size of the mistake. For a single site, building a city-modified keyword set is a tidiness argument. Across fifteen locations it is the difference between one keyword set and fifteen bespoke ones, measuring the same thing at fifteen times the cost — and it is also fifteen lists to maintain when a service name changes.
One set, every location, and let the grid supply the geography. What a grid is for is in geo-grid rank tracking.
Where This Sits Against the Client's Own Work
Tooling only reports the work. The optimisation itself differs at multi-location scale in ways a tracker cannot help with — shared versus separate location pages, duplicate profiles, and category consistency across sites. That side is covered in local SEO for multi-location businesses, and the tracking pattern specifically in hyperlocal rank tracking across multiple locations.
Frequently asked questions
- 01What is the first thing to break when a client adds locations?
- Manual position checking, usually between three and five locations. An agency managing three plumbing locations across counties described zip-code searching as both too slow and *"probably not even accurate"* — the accuracy problem being the one that matters, since a check with no recorded measuring point cannot be compared to next month's.
- 02Can I use Google Search Console for multi-location reporting?
- Not for local position reporting. It does not break results down by city or neighbourhood, and it reports on a website rather than on individual profiles. It remains useful for the site's own search performance, which is a different question from where each location appears in the map pack.
- 03How do agencies pull reviews across many locations?
- Mostly by hand, which is the complaint. One agency running clients with 5 to 30+ locations reported spending a couple of hours per client per cycle opening each profile, copying reviews and pasting them into a spreadsheet. Review export across profiles is worth weighting heavily when comparing tools at this scale.
- 04Should each location track different keywords?
- No. Keep one keyword set and let the grid supply the location, rather than building city-modified variants per site. Across fifteen locations the bespoke version is fifteen lists to maintain and fifteen times the scan spend for the same measurement.
